Move-in & move-out

Tuesday, September 22, 2026 — Sponsors & Large Exhibits: 8:00 AM–6:00 PM · General Exhibitors: 10:00 AM–6:00 PM.

Exhibit Halls A–D loading dock (GPS/navigation): 23 Convention Center Way, Columbus, OH 43215. Ship freight to: 500 North High Street, Columbus, OH 43215. Build from the back forward: flooring, large displays, back walls, counters, utilities, lighting, furniture, product, literature, then clean the booth. Move-out begins after the show closes at 5:00 PM on September 24.

Registration & badges

Every person working your booth must be registered before entering the exhibit hall. Bring a government-issued photo ID, registration confirmation, company name, and booth number to Exhibitor Registration. Booth packages include a set number of complimentary badges based on booth size and sponsorship level.

Freight & shipping

OCHBS works with FERN as the official general service contractor for freight handling, material handling, installation, and exhibitor support. Choose Advance Warehouse (earlier receiving, less move-in congestion) or Direct-to-Show (arrives during designated receiving times). Label every package with company name, booth number, contact name, phone number, and package count, and keep copies of every tracking number.

Booth specifications

10' × 10' Inline — 4 complimentary staff badges — ideal for product displays, demos, first-time exhibitors

10' × 20' — 6 complimentary staff badges — room for demonstrations and private conversations

20' × 20' Island — 8 complimentary staff badges — maximum visibility, access from multiple aisles

Design principles: large readable headlines, high-quality photography, limited body copy, consistent brand colors, strong lighting, open floor space, clear calls to action, and no boxes or crates visible during show hours.

Electrical, internet & utilities

Utilities are not automatically included with booth space unless stated in your sponsorship agreement. Order electrical, internet, and compressed air through the Greater Columbus Convention Center Exhibitor Services Portal at columbusconventions.com/exhibitors before published deadlines for advance pricing.

Compressed air rates — Advanced (30+ days): $210 · Standard (7–30 days): $218 · Late (within 7 days): $240.

Show floor policies

Expected of every exhibitor: staff the booth throughout all published hours, treat attendees respectfully, distribute materials from within your booth, keep sound at reasonable levels, keep exits and aisles clear, and report hazards to event staff immediately.

Not permitted: closing early or leaving a booth unattended, soliciting business in aisles or other booths, blocking neighboring exhibitors' sightlines, photographing others' displays without permission, or leaving unsecured cables and safety hazards.

Visit the Exhibitor Service Desk onsite for help with utilities, freight, booth concerns, registration, or general event information.

Exclusive services & utilities

The Greater Columbus Convention Center is the sole provider for several services — you cannot bring an outside vendor for electrical, internet, plumbing, compressed air, natural gas, rigging, booth cleaning, applied graphics, or food & beverage. Order these through the GCCC Exhibitor Services Portal at columbusconventions.com/exhibitors ahead of published deadlines for advance pricing.

Internet & Wi-Fi — Boldyn Networks, exclusive provider · 614-827-2570 — no complimentary Wi-Fi in the exhibit halls

Electric, plumbing, air & gas — Ordered through GCCC Exhibitor Services before deadlines

Booth cleaning & rigging — GCCC cleans booths; Mills James hangs all signs and banners

Food, beverage & sampling — Levy is the exclusive caterer — product and food samples must follow Levy and sampling guidelines

Certificate of insurance

A Certificate of Insurance is required 30 days before your move-in date. It must name the Greater Columbus Convention Center, Legends Global, and the Franklin County Convention Facilities Authority as additional insured parties. If coverage is not on file in time, the venue may purchase it and bill you.

Selling on the show floor

Exhibitors selling merchandise need the appropriate Ohio seller's permit and license, and sales or general excise tax may apply. The City of Columbus also levies a 5% admission/ticket tax. Confirm your obligations with the Ohio Taxpayer Service Center before the show.

Parking & getting here

There is no free or dedicated exhibitor parking. The venue operates five garages and lots (about 4,000 spaces); the Ohio Center Garage, 400 North High Street is closest to the exhibit halls. Pre-pay and check real-time availability at columbusconventions.com/parking. John Glenn Columbus International Airport (CMH) is about 15 minutes away.

Safety & emergencies

For any onsite emergency, call GCCC Public Safety at 614-827-2547 (staffed 24/7) rather than dialing 911 — officers escort responders directly to your location. AEDs are located in the main concourse outside Exhibit Halls A–D.

Prohibited items & materials

Not permitted on the show floor: helium balloons, helium or propane tanks, other fuels, confetti, and glitter (cleanup fees apply). All decorative materials must be flame-retardant with proof available onsite, and adhesive decals must follow the venue's applied-graphics policy.

Freight, rigging & move-in details

The GCCC will not sign for or store packages, and nothing is accepted before your contracted move-in. Ship to the Fern advance warehouse or through your decorator, labeled with company name and booth number. Fern Exposition Services: 614-253-1500, fernexpo.com.

Rigging is exclusive to Mills James — banners hang no lower than 12 ft and weigh no more than 75 lbs (decorators may hang aisle signs under 75 lbs). Expect only half lighting during move-in and move-out; full lighting comes on for show days.

Displaying a vehicle

Bringing a vehicle into your booth requires a City of Columbus Fire Department permit and inspection (a $75 fee at arrival), a fuel tank at or below one-quarter or 5 gallons, a locked or taped gas cap, and a disconnected battery. Keys are held onsite by the general service contractor or Public Safety.

Accessibility onsite

A nursing-mother room is on the Central Atrium; manual wheelchairs are available through Public Safety at 614-827-2547; and KultureCity sensory-inclusive bags plus quiet zones are available at the two Guest Service Centers.

MARKETING TOOLKIT

Use these ready-to-share resources to promote your OCHBS 2026 presence.

  • Official hashtags and social media handles
  • Downloadable OCHBS logos
  • Sample LinkedIn and Facebook posts
  • “We’re Exhibiting” graphics
  • Email signature banner
  • QR code linking to attendee registration

Think like a publisher, not an advertiser — content that educates outperforms sales-focused messaging. Test every QR code before arriving in Columbus; a broken link is a missed opportunity.

Campaign timeline

4 weeks before: announce participation, invite customers to schedule meetings. 2 weeks before: share behind-the-scenes prep, product previews, countdowns. During OCHBS: live booth photos, customer meetings, speaker sessions. After OCHBS: thank attendees, share highlights, follow up with new contacts.

OCHBS MOBILE APP

The official OCHBS Mobile App extends your booth's presence before, during, and after the Summit — letting attendees discover your company, navigate the exhibit hall, and connect with your team. Think of it as another member of your sales team, working even when your booth is busy.
